What is Pennix?

Pennix is an AI team for tax and accounting firms. Five named AI agents — Vera, Marco, Lilly, Piper and Atlas — receive your clients' documents by email or client portal, read and identify every page, rename and file each document your firm's way, notice what's missing against last year's file and the client's organizer, and ask the client for it. Your people review the finished file. Pennix never prepares or files a tax return.

Who is Pennix for?

Pennix is built for tax and accounting practices of every size — solo preparers, CPA firms, enrolled agents, bookkeeping practices and multi-office firms in the United States and Canada — anywhere client documents arrive by email or portal and someone has to download, name, file and chase them. Plans are priced on the work the AI team does, not per user, so seasonal staff never cost extra.

Does Pennix prepare tax returns or give tax advice?

No. Pennix does the document work around a return — receiving, reading, filing, the checklist and the client follow-up. It never prepares or files a tax return and never gives tax advice; those stay with your licensed professionals, and every document Pennix handles is there for your team to review before prep.

How does Pennix receive client documents?

Clients keep doing what they already do. Documents arrive by email — forwarded from the inbox your firm already uses, or sent straight to your firm's Pennix intake address — or through the client portal. Vera picks them up the moment they land: PDFs, phone photos, scans and mixed multi-page files, including one 30-page PDF with a dozen different forms inside it.

Which documents can Pennix recognize?

Vera reads each page and identifies the standard US individual tax forms — W-2, 1099-NEC, 1099-MISC, 1099-INT, 1099-DIV, 1099-B, 1099-R, 1099-G, SSA-1099, K-1, 1098, 1098-T, 1098-E and prior-year returns — and the Canadian T1 slips such as T4, T4A, T5, T3, T5008 and T2202, along with organizers, engagement letters, receipts and statements. A page Pennix isn't sure about is set aside for a person instead of guessed at.

What does each member of the AI team do?

Vera receives every document, reads each page, renames it your way and files it to the client. Marco compares what arrived with last year's file and the client's answers, and flags what's missing. Lilly writes to clients — the request for a missing 1098, the “did you get my documents?” reply. Piper builds and sends each client's organizer and turns the answers into the checklist. Atlas answers your team's questions about your own client files, always showing where the answer came from.

Does Pennix email my clients on its own?

Only if you tell it to. Every agent has a trust level you set — from suggest-only, to ask-before-acting, to act-and-tell-you, to fully hands-off. Lilly starts at ask-before-acting, so client emails wait for a person's approval until you promote her. Whatever level you choose, every message and every action is kept on the record.

How is Pennix different from traditional practice management software?

Traditional practice management software organizes the work — pipelines, tasks, portals, billing — and your staff still do it, paying per user. Pennix is the AI team that does the client document work itself — receiving, reading, filing, chasing — in 1–2 minutes per intake, with a complete record of every action. It's priced on the work done, includes unlimited users and clients, and works alongside whatever practice software you already run.

What is the difference between general-purpose AI such as Claude, ChatGPT or Gemini and Pennix?

General-purpose AI is a tool your team has to operate: pick the task, set it up, supervise it, review the output. Pennix is a team, not a tool. Its AI agents split the work and run it together: one receives and files every client document, one spots what's missing and chases the client, one keeps your workflow moving. All inside your firm's own inbox, portal and folders, with a record of every step. It knows accounting, learns your firm, and works every day on its own. You review the work. Nobody runs the tool.

Do I have to change my software or move my files?

No. There's no migration and nothing new for your staff or clients to learn. Pennix picks up documents from the email and client portal you already use, files them with your names and your folder structure, and keeps every document in the client's folder, ready for your team to review before prep.

How is my clients' information protected?

Each firm's workspace is private — no other firm can ever see your documents. Files are protected in transit and at rest the same way your online banking is, and before any AI model reads a page, Pennix masks the personal identifiers on it — Social Security numbers, account numbers and the like. Every action is logged, and when you leave, your data is returned or deleted within about 30 days. The full Security & Data-Handling Brief has the details.

Is Pennix SOC 2 certified?

Pennix is SOC 2-ready. It is built and run to the SOC 2 standard today — every document encrypted in transit and at rest, every action logged and monitored — and it is ready for the audit. Is my clients' data used to train AI?

Never. Your clients' information is not used to train AI models — not Pennix's, not anyone's. The AI providers Pennix uses are configured so customer data is excluded from training, and that commitment is written into the Terms and the Data Processing Agreement.

How is Pennix priced?

On the work the AI team does — pages handled, client emails written and Atlas questions answered — not on how many people you have. Every plan includes unlimited users and unlimited clients. There is no free trial: the first month is discounted, monthly plans can be cancelled before any renewal, and all purchases are final. Current plans, capacity and the first-month discount are on the pricing page.

How long does a client intake take with Pennix?

About 1–2 minutes from the moment a client's email lands to a read, renamed and filed client folder, with any missing document already requested. Done by hand, the same intake takes a practice 1–2 hours — which is how the average practice loses 2,800 hours a year to downloading, renaming and filing.

Who makes Pennix?

How do I get started?

What is the difference between Solo and Firm?

Capacity. Both plans give you the same five AI agents — Vera, Marco, Lilly, Piper and Atlas — with unlimited users and unlimited clients. Solo is sized for a solo practice's yearly intake; Firm carries a team's volume of pages, client emails and Atlas questions. The exact allowances are on the cards above, and either plan can be topped up if a season runs hot.

Should I pay monthly or buy the Season Pass?

Monthly is a payment plan: you get one month of allowance at a time and can cancel before any renewal. The Season Pass is the annual plan: it banks the full year's allowance up front, so a busy March never waits on a monthly reset, and it costs less than twelve monthly payments. Most firms that run a full season with Pennix choose the Season Pass.

How does the discounted first month work?

On monthly billing your first month is a flat discounted amount, shown on the plan cards and applied automatically at checkout — one per customer. The plan then renews at the standard monthly rate, and you can cancel before any renewal. The discount does not apply to the Season Pass, which is already priced below twelve monthly payments.

Is there a free trial?

No. Pennix incurs real cost the moment it processes work, so these are defined paid plans with stated capacity — the first month is simply discounted. If you want to see the AI team on a real client file before you choose a plan, book a demo and we will walk through one with you.

What does Enterprise include?

Everything in Firm, sized to your practice: custom page, email and Atlas allowances, multi-office setup, white-glove onboarding, and a security review or data processing agreement on request, on an annual agreement with volume pricing. Tell us about your practice through the demo form and we will come back with a proposal.

How does a demo work?

Fill in the demo form and we will write back to arrange a time that suits you. A demo takes about twenty minutes: we run a real client file through the AI team — intake, review and the client follow-up — answer your questions on fit, capacity and security, and you can bring your own sample file. There is nothing to install.

Can I upgrade, cancel or get a refund?

You can upgrade at any time and the difference is prorated. Monthly plans can be cancelled before any renewal; a downgrade takes effect at the end of the current term. All purchases are final — fees and processing capacity are non-refundable on monthly and annual plans alike, as set out in the refund policy in our Terms.

Are users and clients really unlimited?

Yes, on every plan. Pennix is priced on the work the AI team does — pages handled, client emails written and Atlas questions answered — never on how many people log in or how many clients you keep. Add seasonal staff, partners and every client in your book without changing your plan.
